[occi-wg] Fwd: Registrations and Rooms for the OGF44

Interest in holding a Cloud Plugfest in and/or centered around the attendees who will be there in person for the Lisbon EGI conference?

Please respond ASAP as this will affect whether I decide to go in person myself.

I encourage the OCCI group to meet in person at the co-located OGF 44 Thursday and Friday May 21-22 that week, regardless of the decision about the Cloud Plugfest. This is probably important for getting comment and visibility for the OCCI 1.2 documents as well as to take advantage of the opportunity to meet with OGF security area and network groups and with members of an important user community (EGI). Please consider this and respond with requests for meeting space ASAP.

Alan

Hi Tiziana and Sara,

Thanks for your message. I will poll the various area directors to see where they are in organizing meetings for groups in their respective areas.

I will also see if the OCCI group will have sufficient people to pull off a Cloud Plugfest.

Can you once again update us on the status of registrations?

Thanks,
Alan

Dear Alan, all

we really need your feedback and also a programme to attach to OGF44 to make sure this co-location and the whole EGI event is a success.

Having empty blocks in the programme does not help to make the programme attractive, and we gave priority to OGF44 in selecting co-locations knowing it is important to us. We now want a complete programme on-line to advertise it and boost the registration process. We are only one month away from the start of the event.

Can you please get in touch with Sara as soon as possible? see her points below,

thanks
TIziana

Dear Alan,
(Andre and Andrew)
good morning!

I was wondering if you had time to have a look at my questions below,
especially the ones about technical requirements for the plugfest.

Thank you in advance.

Best wishes,
Sara

Hi Alan,

As you correctly guessed, there is a cost consideration driving my
worries. In principle, we have nothing against a two-tracked,
two-day'ed OGF44. In practice, if the meeting does not attract
registrants... perhaps it's best to reduce the scope. (That is the
concern I tried to convey in my previous email.)

You propose a track for OGF and a track for the Cloud Plugfest - let's
go with this. If we need a second room for your programme, we can find
a place for the Plugfest to continue. Which brings me to my next
question...

What are your specific requirements?
- Space - as discussed above, we can find something
- Network - the venue is a university and has eduroam; plus, we will
have a dedicated wifi network for the participants. Is this enough? If
not, please let me know as soon as possible what else you requires, so
I can see what is possible to organise at this stage.
- Server support - I have no idea what this implies! Could you please
be a bit more specific?

Advertising the Cloud Plugfest - is this something I can help with? Or
is there anything else I can do to promote registrations?

Many thanks,
Sara

Hi Sara,

We have positive feedback from several groups. I think two tracks is
the safest approach right now; one for the Cloud Plugfest and one for
OGF working group and community group meetings. If we need to borrow
space from the Cloud Plugfest to get a group meeting done, are there
other areas where participants can work with good networking and
reasonable isolation?

Cloud Plugfests often look like disasters in terms of organization
but are very helpful for all concerned. They are at their best when
we allow people time with laptops, networking and server support to
learn how to use, test and work on coding for implementations and to
interact with experts and other coders.

I am at the mercy of the groups requesting space. We have requests
from groups in the security area, which makes sense from the list
that you sent. I am trying to encourage other groups, such as OCCI
and GLUE, to meet there also, as well as our networking groups, the
most actie of which is currently NSI.

It will be a contraditction if we invite them to meet and do not have
space to do so. Are there cost considerations that are driving you
to want to reduce the number of tracks? Two tracks already seems
like pretty much a minimum. Keep in mind that OGF is composed of
several different groups that mostly do not overlap, so the common
interest to meet together in one area is driven by the convenience
and availability of working group and community group meeting space.

I can also inquire of the OCCIware project if they would like to meet
there, but again, space will have to be available.

How large are the rooms you are planning to use? Can they be divided
or combined as necessary to go from individual meeting room space to
larger plenary gatherings? Will there be an auditorium or other large
space available, and what portion if any of the EGI meeting itself
will still be going on at that time?

Dear Alan,
(and Andre & Andrew)

It took me a while to understand where your rum joke came from... :)
The difference single letters make in English never ceases to amaze me.

Thanks for your email and taking time to think about this - I know
it's a busy time! But I'm afraid your email leaves me with even more
questions...

- Do you need two parallel sessions over two days? I'm sorry to
insist, but this is a key question for us at the moment. We are
finalising room allocation and I am finding difficult to justify the
two rooms we reserved for OGF44 over two days, given the low number
of registrations and the lack of a programme/timetable, or even
details about the event. Will you develop a programme that requires
two parallel sessions over two days?

- The Cloud Plugfest, in principle, is welcome - we ran one of these
events before. In practice, I have two questions:
-- I assume this will be part of the OGF44 programme (i.e., it will
take a room currently reserved for the OGF44)? Please confirm.
-- You wrote...

It helps to have a sponsor for attendance for those who may want to
come only for this event, typically those in the developer
community. This is not required of course if those who will be
participating are already registered to attend the EGI Conference
itself.

What / who will be the theme and the audience for this Plugfest?
(Apologies if this is obvious but my I don't have a technical
background.)

- OGF44 programme: at the moment we don't have any information about
OGF44 in Indico. Could you please provide:
-- A summary of the event (short abstract, under 150 words)
-- An outline of the programme (with talks, etc.), or a link to your
events page
I think this is important to motivate people to register in your
event. At the moment with under 30 registrations and little else, is
difficult for me to convince the local organisers of the need to
keep two rooms reserved for you. Apologies if I sound
pushy/difficult, but we're 5 weeks away from the event and it's time
to get details in.

Below you can find the list of attendees registered in OGF44. Please
let me know if I can help in any way from this side.

Your feedback regarding the above is appreciated as soon as possible.

Best wishes,
Sara

Dear Sara and Tiziana,

Having considered the issue quite carefully, we believe that rum in
only one track will be sufficient! Less jokingly, and please
forgive the bad attempt at humor, we have in mind to run one of our
Cloud Plugfest events during the conference, in which case having
the extra room will be helpful for those learning to use the test
environments and do interoperability and instance testing.

If you are willing to help us advertise the Cloud Plugfest
possibility, please see the list of past events on the web site at
http://cloudplugfest.org and let us know if you have any questions.

I am desperately busy with a semi-annual review for my center
(http://nsfcac.org) for the rest of the week, and will be traveling
to Japan all next week, so my communications will be uneven. Can
you please help me to coordinate with you and the other people who
will be coming for OGF by sending me the list of registrants so
far, and following with an update every few days or so as things
change or as you see fit?

I have sent a reminder message out tho the OGF work groups list and
also to the GFSG (Grid Forum Steering Group) to ask them to
register. One complication is that it is not completely certain
that I will be able to attend myself. I really hope to, as one of
the things we have been able to achieve in my center is the ability
to open participation in the interoperability testbed projects to
international participants, which I announced at CloudScape VII in
Brussels and Cloud Expo Europe in London last month, and would like
very much to make this real through participation and collaboration
with the EGI community. My travel schedule is however not
completely under my own control as it is dictated by the need for
me to interact frequently with NSF and our center members, so I
have asked for help from the GFSG and our area directors within it
to help coordinate the meeting requests there.

Please send a list of registrants if that is OK, and let's keep in
touch. I'm cc'ing Andre Merzky and Andrew Grimshaw of OGF also to
make sure that communications don't get lost. Please include them
on any mailings related to this event.

Dear Alan,

Now that OGF 43 is out of your way, I would like to take a moment
of your time to discuss the arrangements for the OGF 44 in Lisbon.

We have reserved two rooms for two days (21-22 May) for your
event. So far, and with a week to go until the end of early bird
registration, we have 27 attendees registered for OGF. This is, at
first glance, a very low number for an event with two parallel
tracks.

Could you please confirm that you require two parallel tracks to
rum your event?
Could you give me an estimate of the number of people you are
expecting to attend OGF 44?

This will help me and the local team to optimise the rooms
reserved for your event. I know you must be busy but your feedback
is appreciated as soon as possible.

Please let me know if you have any questions.

Best wishes
Sara
